Prepare your despatch data

What your factory software, courier account and packing bench need before the first despatch.

This guide describes the service scope. Access and the workflow supported for your site are confirmed during onboarding.

Choose one bench and one source

Start with the despatch work you repeat every day: one site, one system that holds the work orders and a handful of parcel choices that cover most jobs. A focused first bench shows the time saved more clearly than an attempt to cover every exception.

What the work-order lookup returns

The full source contract is provided during onboarding. Your system, or a small adapter beside it, returns:

  • A work-order reference and a stable reference for this despatch.
  • A revision that changes when anything relevant to the booking changes.
  • Whether the despatch is packed and ready to ship.
  • The recipient’s name, delivery address, postcode and contact details.
  • Real package weights and dimensions, unless a fixed-content preset supplies known values.

Your courier account

ParcelOffice books on your own DHL eCommerce UK or DHL Parcel UK account. Test credentials come first, then production credentials once services and labels are qualified. The actual service codes, delivery areas and collection arrangements are confirmed for your account. ParcelOffice does not arrange collections or confirm that a parcel left the building.

The packing bench

Each bench needs a browser station, a barcode scanner that types like a keyboard and a label printer connected through SmartFACT PrintStation. ParcelOffice prints the courier’s PDF labels, and the printer, stock and label geometry are checked with real labels before the bench goes live.

Describe the problem first

The enquiry form is for general workflow information. Do not send customer addresses, courier credentials or order exports through it. Onboarding sets out how your data is handled.
